How do you stop receipts piling up before you reconcile in Xero?

Receipts pile up when capture waits for reconciliation day. Create the Xero transaction when you pay, with the receipt attached, and the bank feed line has something to match.

Short answer: receipts pile up because capture is left until reconciliation day, when each bank feed line needs a receipt, a category and a person who remembers the purchase. Move the work to the moment of payment. Photograph the receipt that day, let it become a spend-money transaction in Xero with the image attached, and the bank feed line has an existing transaction to match when it arrives. Quenta does the first part: it reads the photo, posts the transaction to Xero and attaches the original.

This is a description of a workflow, not accounting or tax advice. Where Xero's behaviour matters, the source is Xero Central, linked below.

Why do receipts pile up in the first place?

They pile up because reconciliation is the first moment anyone needs them. A card payment goes through, the paper is put away, and nothing in Xero changes until the bank feed brings the line in. By then the receipt may be days or weeks old. At that point there are two jobs per line: find the receipt, then type in the supplier, date, total, VAT and account. The typing is the part people put off.

What does Xero expect you to do with each bank feed line?

Xero expects every statement line to end up paired with a transaction. Xero Central's guide to reconciling your bank account says the aim is to match each statement line to an existing transaction in Xero, or create a transaction during the reconciliation process. Find transactions to match to bank statement lines describes Find & Match as the tool for searching for unreconciled transactions or creating an additional one.

Two routes follow from that:

RouteWhen the receipt is dealt withWhat you do on reconciliation day
Create during reconciliationOn reconciliation dayFind the receipt, type the details, attach the file, for every line
Create when you payThe day of the purchaseConfirm that the feed line matches the transaction that is already there

The second route is not a different Xero feature. It is the same matching, done with the receipt already entered.

Can a receipt be attached to the transaction instead of kept in a folder?

Yes, a receipt can be attached to the Xero transaction itself. Xero Central's "Attach a file to a transaction" says users with access to documents can attach files to spend and receive money transactions. Attaching the receipt there means the evidence is found from the same place as the number it supports, which matters when HMRC asks. For VAT-registered businesses that is covered in which receipts to keep for VAT, which cites HMRC's VAT Notice 700/21.

How does Quenta create the transaction when you pay?

Quenta turns a photograph of a receipt into a posted spend-money transaction in Xero. Its help guide describes the steps:

  1. You photograph the receipt, upload an image or PDF, or forward an emailed receipt.
  2. Quenta reads the merchant, date, total, currency and VAT details.
  3. It applies the account you chose for that category before, if you ticked Remember this choice.
  4. It creates an authorised spend-money transaction in Xero and attaches the original image or PDF.

If a detail is unclear, the receipt waits in Review with the problem in plain words, instead of posting a guess. Receipts captured without a connection show as Queued offline and upload when the phone is back online.

Quenta does not reconcile for you. Xero still does the matching, and you still confirm it. What changes is that the transaction, the coding and the image are already waiting.

What does the routine look like day to day?

A hand holding a phone over a single receipt on a desk, photographing it

  1. Photograph it when you pay. Flat surface, whole receipt in frame, total and date sharp.
  2. Forward emailed receipts the same day. Do not screenshot them. A forwarded PDF keeps the original file.
  3. Look at Review once a week. Anything in Review needs a decision from you: a missing account, a currency to confirm.
  4. Reconcile as usual. Each feed line should have a matching transaction, so the work is confirming, not creating.
  5. Look at unmatched lines first. A feed line with no match is often a purchase whose receipt never reached Xero, so start there. If it is a card purchase, asking the supplier for a copy sooner is easier than later.

What are the limits?

Quenta only works with Xero. Foreign-currency receipts are posted without VAT, and Quenta does not decide whether you can reclaim VAT on a purchase. Xero can refuse changes to a reconciled transaction or to a locked period, and Quenta shows Xero's reason and leaves the record as it was.

Quick answers

Do I have to reconcile every day? No. Reconcile on whatever schedule suits you. What changes is that capture no longer waits for it.

What if I forget to photograph one? The feed line will have no transaction to match when you reconcile. Photograph or find the receipt then, and create the transaction as you would have.

What does it cost? Quenta has a free plan with 10 receipts a month. Quenta Pro is £6 per user a month, tax included, with up to 350 receipts a month under fair use. Pricing is on the pricing page.
